Information We Access
- Email addresses submitted through the website to request Google Play closed testing access.
- Google account details used for sign-in, such as your name, email address, and profile photo.
- When Google's verification of Nootely's direct Gmail access is still in progress, the Gmail app password you create and enter to connect Gmail manually, stored securely on your device and used only to establish the IMAP connection.
- Gmail message metadata, including message IDs, thread IDs, snippets, subject lines, recipients, dates, and mailbox labels.
- Full Gmail message body content only when you open an email, review it in the email detail view, or select it for report generation.
- Templates you create or save, including template name, category, purpose, subject, body, remarks, and timestamps.
- Notes you create or save for reporting context, including note content and related timestamps.
- Generated report content, which may include derived content from selected Gmail messages, notes, and templates, plus related template IDs, selected Gmail message or note IDs, generation time, and basic generation metadata.
- Report usage, plan status, app version, and security verification data needed to operate report limits and app access.
- App preferences, such as theme settings and onboarding/default template state.
- Purchase and subscription status needed to show available plans and subscription access.
- Website analytics consent choices when you accept or reject optional analytics cookies.
- Error and diagnostic information when sign-in or app errors occur.
How We Use Information
Nootely uses this information to:
- Send Google Play closed testing access and related setup instructions.
- Sign you in with Google.
- Connect to Gmail over IMAP using your Google app password when direct Gmail access is not yet available for your account.
- Display Gmail messages you are authorized to access, including full message body content when you open an email.
- Let you review and select Gmail messages, templates, and notes for report generation.
- Let you create, save, and manage notes for reporting context.
- Generate AI-assisted reports from content you choose.
- Verify report generation limits, subscription access, app availability, and app security.
- Save templates and generated reports for later use.
- Maintain app preferences.
- Diagnose errors, improve reliability, and protect the app.
Nootely requests Gmail read-only access. The app does not send, edit, delete, archive, or otherwise modify your Gmail messages.
While Google's verification of Nootely's direct Gmail access is still in progress, some accounts are asked to connect Gmail manually using a Google app password instead of Sign in with Google's Gmail scope. This app password is stored securely on your device and used only to open a read-only IMAP connection to your Gmail account. You can revoke it at any time from your Google Account settings, and Nootely moves affected accounts back to direct Gmail access once verification completes.
Google API Data
Nootely uses Google Sign-In and Gmail API access with the Gmail read-only scope.
Nootely accesses raw Google user data only after you authorize the app. This may include Google account profile data, Gmail message metadata, and full Gmail message body content for emails you open or select.
Nootely uses Google API data as follows:
- Google account profile data is used to sign you in and identify your account in the app.
- Gmail metadata is used to list messages, show message details, and remember which messages you selected for a report.
- Gmail message body content is used only when you open an email, review the email detail view, or select the email for a report.
- Generated reports may contain derived content from the Gmail messages, notes, and templates you selected.
Nootely’s use and transfer of information received from Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements. We use Google user data only to provide and improve user-facing Nootely features. We do not sell Google user data, use it for advertising, or transfer it to advertising platforms, data brokers, or information resellers.
The use of raw or derived user data received from Workspace APIs will adhere to the Google User Data Policy, including the Limited Use requirements.
You can review or remove Nootely’s access from your Google Account settings at any time.
AI Report Generation
When you generate a report, Nootely sends the selected email content, selected template content, and selected note content to the configured AI report generation service. This may include email subjects, recipients, snippets, message bodies, dates, template text, and note text.
Nootely sends this content to AI generation providers only to create the report or output you requested. Nootely does not use raw or derived Gmail data to train general AI or machine learning models, and we do not permit service providers to use Google user data to train their general models.
Generated reports are saved locally by the app. You should not select emails containing sensitive, confidential, or personal information unless you are authorized to process that information through Nootely.
Plans, Usage, and Security
Nootely may use payment and subscription services to manage purchase options and subscription access. The app may also contact Nootely services to check app availability, load report generation usage, and verify report generation requests before generating a report.
These checks may use account, device, app version, usage, quota, and security verification data needed to operate the app and protect report generation limits.
Local Storage
Nootely stores notes, templates, generated reports, related metadata, and app preferences on your device using local app storage. Removing the app or clearing app data may delete locally stored Nootely data.
Diagnostics and Telemetry
Nootely may use diagnostics services to capture error reports, stack traces, feature tags, and limited diagnostic context. This helps us identify and fix issues. We do not intentionally include Gmail message bodies in diagnostic events.
Closed Testing Requests
If you request Google Play closed testing access through the website, Nootely uses the submitted email address to send the testing link and related setup instructions.
Security
We use reasonable administrative, technical, and organizational safeguards to protect app data. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Data Retention
Nootely keeps locally stored notes, templates, reports, preferences, and related metadata until you delete them, clear app data, or uninstall the app. Google authorization can be revoked from your Google Account settings.
Nootely does not permanently store Gmail message bodies as separate Gmail records in the app. Message content may appear in locally saved generated reports when you choose to generate and save those reports from selected emails.
Service providers may retain data according to their own terms and policies.
Your Choices
You can:
- Sign out of Nootely.
- Revoke Nootely’s Google access from your Google Account.
- Delete notes, templates, and reports in the app where supported.
- Clear local app data or uninstall the app.
- Contact us to request help with privacy or data questions.
Children
Nootely is intended for business and professional use and is not directed to children.
Changes
We may update this Privacy Policy as the app changes. If we materially change how we access, use, store, or share Google user data, we will update this policy and request any required consent before using data in a new way.
